Job Description

Nature of Work:

Provides secretarial support to the Soil Testing and Site Evaluations Program for the Sanitary Engineering Program, which consists of one Environmental Sanitarian Supervisor and six Environmental Sanitarians. This unit is responsible for the issuance of permits for individual sewage disposal systems.

Duties include composing and typing letters, reports, forms, memorandums and other materials, modifying or editing documents, as necessary, and producing final documents of a technical, professional and sometimes confidential nature, with accuracy and speed; processing incoming site plans, plats, and miscellaneous documents by logging in, performing data entry when necessary and retrieving files when appropriate; performing data entry for logging in permits for the county for compliance inspections; creating compliance drawing permits for staff members; maintaining a database for compliance inspections; and processing compliance drawing permits for final approval and record retention.

Assists in maintaining various computer programs for data collection, statistical reports, permit issuance and activity reports. This includes data entry, data queries, tracking, producing reports and recommending modifications to existing programs when appropriate.

Provides secretarial support to the Soil Testing and Site Evaluation Program for the Sanitary Engineering Program by inputting data daily into the Land Use Navigator (Accela) for Perc Applications, Building Permit Applications, and Sewage Disposal Installation Permits. This position performs record searches of historical well and septic records. as needed in various database systems, checking applications for completeness and accuracy, entering data into departmental databases for tracking, mailing, processing and approval purposes, typing correspondence of a general and sometimes confidential nature, modifying and editing documents as necessary, and by faxing request for estimates to qualified contractors.

Serves as the Bureau cashier backup, which is responsible for generating receipts for fee collections for food service facility licenses, pool operator and lifeguard licensing, radium water testing, civil citations, escrowed monies, pool/spa licenses, copies of records and videos on septic system maintenance. Performs data entry and compiles a report for the accounting of daily receipts, producing end of day report, and completing financial forms as necessary.

Assists members of the general public who appear in person by providing information, explaining requirements for various types of permit/applications pertaining to the program, referring to appropriate Bureau staff members who can assist, providing copies of file information when appropriate and releasing Construction and Perc Applications, collecting appropriate fees and issuing receipts for monies received, when appropriate.

Minimum Qualifications

Education:

High School Diploma or Equivalency (GED).

Experience:

Experience with Microsoft Office Suite software and Google Workspace.

Desired or Preferred Qualifications:

At least three years of experience in an administrative role. Technical Proficiency in Microsoft Office Suite software and experience with Google Workspace.
