Salary: $16.00 – $18.00 per hour

Job Description

Nature of Work: Under the supervision of the Administrative Officer to the Deputy Health Officer of Operations, responsible for providing clerical support to the Bureau of Administration. Phone coverage of the main phone line, fielding and responding to calls from the general public. Performs administrative and secretarial duties at a high level, providing accurate and efficient work practices in support of the Deputy Health Officers and general operations. Develops correspondence, organizing, planning and executing special projects; assisting with reports as requested encompassing a thorough process of researching, drafting and proofreading requiring a high level of accuracy. Contributes to and prepares presentations, statements and other written materials. Scheduling of meetings with external agencies for Department of Health senior staff; complex calendar management. Develop timelines and set priorities and metrics to meet and assess goals and deadlines. Serves as a resource to Department of Health staff on filed and archived materials. Writes documentation in electronic format as necessary. Maintains and updates tracking of call log. Perform other duties as assigned. Provides support to administrative staff when there are absences or vacancies.

Minimum Qualifications

Education: High School Diploma or Equivalency (GED)
Experience: Two years performing secretarial or clerical work including working with computer programs and typing. Advanced knowledge and experience with MS Office, Word, Excel and PowerPoint; Windows software; and Google applications. Excellent proofreading and grammar skills. Excellent oral and written communication skills. Very strong time management and facilitation skills. Exceptional organizational skills with the ability of developing timelines and meeting deadlines. Ability to work independently and on a team. Energetic, enthusiastic, tenacious self-starter and team player.
Notes: A major in secretarial science or office technology from an accredited college or technical school may be substituted at the rate of 30 credits for one year of experience up to two years of the required experience.
Desired or Preferred Qualifications: Experience working in a public health or clinic setting. Previous experience in administration at county or state level.
